Start with the incomplete-month wage
Section 18A of the Employment Act 1955 covers a monthly-rated employee who takes one or more days of leave without pay. The simple formula is:
This article uses the Employment Act framework for Peninsular Malaysia and the Federal Territory of Labuan. Sabah and Sarawak have their own labour laws and authorities.
Simple example: one unpaid day
- Monthly wages
- RM3,100
- Wage period
- 31 days
- Eligible days
- 30 days
- Wages due
- RM3,000
RM3,100 ÷ 31 × 30 = RM3,000. The wage difference is RM100 before checking how statutory and other deductions respond.
What can change on the payslip?
| Line | What to check |
|---|---|
| Leave record | Does the approved unpaid-leave period match the payslip? |
| Wages paid | Was the incomplete-month calculation applied to the correct wage period? |
| EPF | Did EPF change because the EPF-liable wages changed? |
| SOCSO and EIS | Did contributable wages move into another official band? |
| PCB / MTD | Did taxable remuneration or payroll data change? |
| Allowances | Was an attendance-based or conditional allowance affected? |
| Net pay | Does the final figure match the related bank credit? |
A lower EPF, SOCSO or EIS amount is not automatically an error when the wage basis changed. PCB can also move differently because it uses tax and year-to-date payroll information.
Unpaid leave is not the same as paid leave
Unpaid leave
The approved absence is not paid like an ordinary working day.
Annual leave
Approved paid annual leave normally remains paid within the employee’s entitlement.
Paid sick leave
Valid paid sick leave is not normally processed as unpaid leave when the requirements are met.
The HR record matters. If the approved leave type and payslip do not match, ask for the record to be reviewed before assuming the formula is wrong.
Recheck the month in a consistent layout
Enter the adjusted earnings and deductions in the Payslip Generator as a separate estimate. Then use How to Compare Two Payslips to identify the first changed line.
The Net Salary Calculator can help with an ordinary salary estimate, but the employer's leave record and payroll calculation remain the source for the actual month.
When to ask HR or payroll
- The unpaid-leave days do not match the approved record.
- Paid annual or sick leave was recorded as unpaid.
- The wage-period dates or eligible days look wrong.
- An allowance disappeared without a clear attendance condition.
- The bank credit does not match net pay on the payslip.
Keep the contract, leave approval, attendance record, payslip and bank transaction. For a workplace in Peninsular Malaysia or Labuan, the JTKSM complaint page explains the supporting documents used for an employment complaint.
