A good resignation letter needs only four things: a clear statement that you are resigning, your notice period, your last working day, and an offer to hand over your work properly. The samples below are ready to copy — or use the free Resignation Letter Generator to fill in your details and compute the last working day automatically.

Keep it short and unambiguous. State that you are resigning from your position, effective the date of the letter; state your notice period; state your last working day; and offer a proper handover. Gratitude is optional but costs nothing and reads well. What a resignation letter should not contain: grievances, negotiation, or anything you would not want in your permanent file.
One date rule worth knowing before you pick the dates: under Malaysian employment law, the day you hand in the letter counts as day 1 of the notice period. Four weeks' notice given on 1 September ends on 28 September.

Dated 1 September with one month's notice, the last working day is 30 September — because the day the letter is given is day 1 of the notice. Add your address under your name and the company address under the company name if you are following the full formal letter format.

A two-week notice is appropriate only if your contract states that period. When the contract is silent, the statutory minimum applies — see the table below.

24-hour notice is not a free option
Resigning without serving full notice usually means paying the employer an indemnity in lieu — the wages for the unserved part of your notice period. The basis is the unserved balance, not automatically one month of salary. Estimate it with the Notice Period Calculator and confirm the amount with HR or the Labour Department before sending the letter.
Your written contract comes first: section 12(2) of the Employment Act 1955 lets a written notice provision determine the period. The statutory scale below is the minimum that applies when the contract does not state a notice period in writing:
| Length of service on the date notice is given | Minimum notice |
|---|---|
| Less than 2 years | 4 weeks |
| 2 years to under 5 years | 6 weeks |
| 5 years or more | 8 weeks |

Open the Resignation Letter Generator →The notice period in your written employment contract is what applies. When the contract does not state one in writing, the Employment Act 1955 sets the minimum: four weeks if you have served less than two years, six weeks for two to under five years, and eight weeks for five years or more, measured on the date notice is given. The Act also requires the notice period to be the same for employer and employee, and notice must be in writing.
Yes, but it is not free. Section 13(1) of the Employment Act lets either party end the contract without serving full notice by paying the other an indemnity equal to the wages that would have accrued over the unserved notice. The basis is the unserved balance of your notice period — not automatically one month of salary. Estimate the figure before you send the letter, and confirm the actual amount with HR or the Labour Department (Jabatan Tenaga Kerja).
Yes. Section 12(4) provides that the day on which notice is given is included in the notice period. Four weeks of notice given on 1 September therefore ends on 28 September, not 29 September. The generator linked on this page applies that rule automatically.
No. A resignation letter only needs a clear statement that you are resigning, the notice period, and the last working day. If you choose to give a reason, keep it neutral — a new opportunity, personal or family reasons, further studies or relocation — because the letter stays in your employment file.
Yes. Sabah and Sarawak are covered by their own labour ordinances rather than the Employment Act 1955, but since 1 May 2025 the amended ordinances carry the same 4/6/8-week notice scale. The samples cite no statute, so they work in any state.
Resignation with proper notice is a right under the contract of service — you are informing, not applying. An employer can discuss dates and handover, but the decision to resign with correct notice is yours. If a dispute arises over the notice period or any payment, the formal channel is the Labour Department.
